Our website agent

Our website has an AI website agent that answers questions about Advisory Agent and helps you get in touch with us.

It is AI, not a person. The website agent tells you it is an AI assistant from its first message. It answers only from information we have approved about our own services. Nothing it says is professional advice, and it does not make any commitment on our behalf.

What we collect. When you use the website agent, we collect the messages you choose to type and the answers it gives you, so that we can understand your enquiry and respond. The website agent does not ask for your name or contact details in the chat. If you would like us to contact you, those details are collected separately through our contact or booking form, with your consent.

Why we use it, and our lawful basis. We use this information to understand your enquiry, respond to it, and put you in touch with our team. Our lawful basis is our legitimate interests (Article 6(1)(f) UK GDPR) in responding effectively to people who contact us, in a way that does not override your own rights and interests. Where you ask us to contact you, we rely on your consent (Article 6(1)(a) UK GDPR), which you may withdraw at any time by contacting us.

Who processes it. The website agent is built and maintained for us by our technology partner, and uses an artificial-intelligence service provided by Anthropic to interpret your messages. It is hosted on our own virtual private server, located in the United Kingdom. Bookings are handled by Cal.com, and enquiry notifications are sent by Resend. These providers act only as our processors, under written terms. They are not permitted to use your information for their own purposes or to train artificial-intelligence models on it.

No automated decisions about you. The website agent does not make any decision about you that has a legal or similarly significant effect. Every enquiry is read and dealt with by a person.

How long we keep it. Website agent conversations are deleted after 90 days. Contact details collected through the website agent's contact step are deleted from that system after 30 days. If your enquiry leads to further correspondence or an engagement, that correspondence is kept as set out in Section 9.

A note on sensitive information. Your conversation with the website agent is an early, general enquiry. Please do not include sensitive details (for example, about your health) or anyone else's personal information. Share only what is needed for us to understand how we can help.

You don't have to use it. You can always email us instead at hello@bluegreenadvisors.com.

07

Who we share your information with

  • Our team members and contractors working on the relevant engagement
  • Clients and counterparts where information sharing is necessary to deliver the engagement
  • Service providers including hosting and infrastructure providers (Vercel Inc.), email and communications platforms, analytics providers, and payment processors
  • The technology partner who builds and maintains our website agent, the artificial-intelligence service it uses (Anthropic), our booking provider (Cal.com) and our email notification provider (Resend)
  • Professional advisers including legal, financial, and audit advisers
  • Regulators and authorities where required by law

We require all third parties handling personal information on our behalf to do so under contractual obligations consistent with UK GDPR. We do not sell personal information, and we do not share it with third parties for their own marketing or independent purposes.

08

International transfers

BGA operates internationally. We deliver engagements in Indonesia, the Philippines, Viet Nam, Mozambique, and other countries. Some of our service providers are based outside the UK, including in the United States and the European Economic Area.

This includes Anthropic, the artificial-intelligence service behind our website agent, which processes data in the United States, and our technology partner, who maintains the website agent with administrative access from India.

Where we transfer personal information outside the UK, we use appropriate safeguards including the UK International Data Transfer Agreement, the EU Standard Contractual Clauses with the UK Addendum, or other lawful transfer mechanisms permitted under UK GDPR.

09

How long we keep your information

  • Website agent conversations: 90 days
  • Contact details given through the website agent's contact step: 30 days in that system
  • Enquiries that do not lead to engagement: up to 24 months
  • Active client engagements: for the duration of the engagement
  • Completed engagements: at least 7 years after completion
  • Marketing communications: until you withdraw consent or object to processing
10

Your rights

  • Right of access: to obtain a copy of the personal information we hold about you
  • Right to rectification: to have inaccurate or incomplete information corrected
  • Right to erasure: to have your personal information deleted in certain circumstances
  • Right to restrict processing: to limit how we process your information in certain circumstances
